Manager, Document Control

Position Summary:

The Document Control Manager is responsible for managing the team and processes involved with the creation and maintenance of health plan documents. The Manager oversees and leads the implementation and maintenance of the Enterprise Content Management (ECM) system, which helps to manage information flows across the organization. This position leads continuous support of the ECM platform and partners with business groups to facilitate adoption of documents into the platform.

Job Description:

Primary Responsibilities

  • Develop and implement policy, processes, standards and templates for effective content organization and management.

  • Manage a team of Document Specialists to create, update, and manage health plan documents in accordance with CMS requirements.

  • Lead and mentor less experienced professionals to coordinate with internal subject matter experts and clients to develop documents to meet required deadlines

  • Interface with clients and internal subject matter experts to understand and meet requirements for various health plan documents.

  • Utilize advanced knowledge of Content Management software platforms and systems to manage information flows across the organization.

  • Provide training and support of the Content Management platform to business groups.

  • Utilize understanding of CMS-regulated information governance and lifecycle to ensure proper archival and disposition of enterprise content.

  • Assist business teams with work flow design and implementation.

  • Partner with business teams to define and capture relevant document meta-data.

  • Develop Client “style-guides” to be used as a document creation reference for preferred formatting and nomenclature for each health plan.

  • Work in conjunction with various cross-functional teams to ensure enterprise content is stored, preserved and accessible for regulatory purposes.

Qualifications

  • Bachelor's degree or equivalent experience with at least five years of directly related experience

  • Advanced knowledge in content management software platforms and metadata management

  • Exceptional interpersonal, team-building and communication skills

  • Ability to build consensus and foster change in a client business setting

  • Ability to drive effective short-term actions that are consistent with long-term goals

  • Strong collaboration skills to partner effectively across various levels of the organization

  • Ability to effectively handle pressures and demands of deadlines and competing priorities

  • Strong project management capabilities

  • Ability to prioritize tasks to meet business needs, including prioritizing the work of others on the team, when needed

  • Ability to lead and manage the work of others

  • Experience using ECM and CCM solutions (Hyland OnBase, OpenText, etc.) in a regulated environment is preferred

  • Experience with Microsoft Office products and Adobe Acrobat Pro

  • Knowledge of CMS Medicare Advantage Part C regulations is preferred

  • While performing the duties of this job, the employee is regularly required to, stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach, stoop kneel to install computer equipment

  • Specific vision abilities required by this job include close vision requirements due to computer work

  • Moderate noise (i.e. business office with computers, phone, and printers)

  • Ability to work in a confined area / cubicle

  • Ability to sit at a computer terminal for an extended period

Working Conditions

  • While performing the duties of this job, the employee works in normal office working conditions.
