Project Intake Manager

The Project Intake Manager reports to the Sr. Manager/Manager Workforce Management and will be responsible for supporting all processes and systems relating to the intake of new and existing customer project engagements. This will include quote review, internal and external project discovery and internal transition to the PMO and Project Support team. Pre-contract engagements would include but, not limited to, discussing/explaining Omnicell professional services offerings, project methodology and drafting high level project timelines.


  • Monitor and process all new customer orders (new and existing) as defined in the workforce management standard operating processes

  • For all new projects, meeting project intake process criteria, ensure all project information correctly documented and of the highest quality. Including quote review, internal discovery, timelines, desired outcomes and other relevant information

  • Assist with managing and increasing project intake accuracy and ensuring project is ready to be scheduled and resourced.

  • Work closely with resource manager, PMO and implementation services leadership to resolve project scheduling and resource conflicts.

  • Build, maintain, and communicate project intake metrics, opportunities and challenges

  • Develop & manage a program and delivery methodology, with the end goal of efficient project scheduling, and clear customer expectations, deliverables and outcomes

  • Along with resource management, run weekly resource meeting and facilitate project issues / conflict resolution with Professional Services and appropriate department heads

  • Manage all aspects of project intake with transparency to business leaders. Source input from Professional Services leaders as needed

  • Consult with Professional Services leaders and Project Managers/Associate Project Managers to identify appropriate project timelines for each account, solution, and project

  • Maintain constant knowledge of current, upcoming projects and sales growth development activities as they relate to scheduling

  • Arrange weekly meetings with Professional Services Management team to discuss all active projects and potential new business

  • Receive, analyze and report on weekly project intake to Professional Services Management team

  • Alert Senior Management team of any potential concerns or issues with meeting key client deliverables

  • Special projects as assigned

  • Attend weekly resource calls and manage collaboration process with other department or practice to share resources on an as needed basis

  • Recommend process improvements for Resource Management

  • Responsible for managing overall utilization

  • Work to resolve any issues regarding under or over allocations of current staff members

Required Knowledge & Skills

  • The ideal candidate must be able to operate in a fast-paced, high-growth work environment andoperate entrepreneurially and collaboratively to accomplish deliverables.

  • Outstanding time management and prioritizing skill is required to be a successful candidate.

  • Proficiency in MS Office applications including Microsoft excel

  • Knowledge of workforce management solutions

  • Assertive conflict-resolution and problem-solving skills

  • Clear and concise communication in both written and verbal form

  • Ability to be diplomatic or firm when necessary in order to drive business forward or obtain results

  • Highly detail oriented and able to work autonomously

  • Ability to manage multiple tasks and tight deadlines with confidence and ease

  • Ability to prioritize and organize workload across multiple groups

Basic Qualifications

  • Bachelor’s degree or in lieu of degree, a professional healthcare certification

  • 3+ years resource management or project management experience in software solutions industry

  • 1+ years experience building project timelines

  • 2+ years experience developing project intake metrics and dashboards from scratch

Compensation will vary based on region. For the state of Colorado only, expected pay is $63,000 to 81,000. Benefits can be found on www.omnicellbenefits.com at http://www.omnicellbenefits.com/ .
